About the role
VMCH St Clare Retirement Living Precinct is has a vacancy for a dedicated Senior Admin Assistant to provide administrative assistance to our managers and support our growing operations to contribute to our success. You will design and implement procedures to ensure the smooth delivery of services to Residents, visitors and stakeholders in a professional manner.
About you
You will be an experienced Senior Admin Assistant proficient in managing schedules, meetings, correspondence and events with ease and competence. Your time management and ability to prioritise tasks will be outstanding as you will be dealing with a vast array of stakeholders. Ideally you will have worked front of house in a retirement living environment.
- Provide high-level administrative support the manager
- Build and maintain professional relationships with residents
- Assist with hospitality bookings and function arrangements.
- Attend to resident’s concierge requests – hospitality, transport etc
- Maintain common areas to five-star standard, arrange maintenance requests as required.
- Resolve Residents issues and where necessary escalate to managers
- Mentor and develop the reception /concierge staff to ensure outstanding service provision
- Maintain files, and documentation, handling confidential information with discretion.
- Attend to emergency calls when necessary
- Liaise with internal and external stakeholders.
Qualifications:
- Proven experience as an administrative assistant or in a similar role.
- Outstanding communication skills to deal with a vast array of stakeholders
- Excellent organizational and time-management skills.
- Strong written and verbal communication abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work independently and as part of a team.
- Attention to detail and problem-solving skills.
- High level of professionalism and confidentiality.
